There are 4 modes of a REDCap project:
Development
Production
Analysis/Cleanup
Completed
NOTE: API keys are NOT disabled regardless of the project state, more info: API keys
(1) Development:
All projects start in ‘Development’ mode upon approval.
When a project is in the Development mode, it is under construction and NO REAL DATA should ever be collected when your project is in this state.
This mode is used to build and test your project with FAKE data, to ensure data collection works as expected, once the project is approved for ‘Production’ mode
The status of a project is viewed within the project setup page:
(2) Production:
Once a project has been built & thoroughly tested it must be approved by a REDCap administrator to be moved Production mode.
When a project is moved to Production mode, it is more secure. For example, if a user attempts to delete/change/edit a field or instrument, the system will do a preliminary scan of the requested changed, to ensure it won’t be problematic (ie, data loss/corruption). If the system check identifies a changes that could be problematic, the requested changes are then sent to a REDCap Administrator for review.
(3) Analysis / Cleanup:
Data remains, but most project functionality that facilitates survey data capture is disabled (eg surveys, alerts & notifications, automated survey invitations)
NO new records can be created. If users wish to create records, the project must be moved back to Production status.
Existing records can either be modified or locked from modification
The project can always be moved back to production for further new data collection if needed:
(4) Completed:
A project should be marked as "Completed" only when users are finished with a project and wish to make it completely inaccessible!
Once marked as Completed, no one in the project (except for REDCap administrators) can access the project, and only administrators may undo the Completion and return it back to an accessible state for all project users.
Marking a project as Completed is typically only done when users are sure that no one needs to access the project anymore, and they want to ensure that the project and its data remain intact for a certain amount of time per IRB or auditing purposes
Doing so will take it offline and remove it from everyone's project list, after which it can only be seen again by clicking the Show Completed Projects link at the bottom of the My Projects page.
Additional Considerations
The "Archived" project status has been removed and converted into a built-in Project Folder named "My Hidden Projects", as now seen at the bottom of each user's My Projects page.
If users wish to hide any projects from their My Projects list, they may click the Organize button on that page and place the projects into that new Project Folder
