Specimen Events

Specimen Events:

Events are available in OpenSpecimen to provide a method of recording processing events on one or more samples. Each of these events has unique fields for recording fields such as chemicals used for processing, duration of event, observations, etc. Each event will always record the user and a timestamp associated with the event.

Record a Specimen Event

Record an event using any page where samples are displayed, such as:

  • CP Specimen List, Cart Specimen List, Container Specimen List, Participant specimen table, Specimen overview page, Query (queries use the ‘Specimens’ button to perform specimen related tasks.)

  1. Select the sample(s) to record an event (example from the CP specimen list page). The filters were used to find the samples to add an event. Each was selected using the boxes to the left of the specimen label. Choose ‘Add/Edit Event’ from the ‘Actions’ dropdown.

  2. Select Add / Edit Event from the Actions button (or the Specimens button from the query interface).

     

  3. From the Specimens tab under Bulk Events, click ‘Next’. Note that you can add additional specimens to the list using the box at the top prior to clicking ‘Next’. This is convenient if you have specimen labels with scannable barcodes.

  4. From the Options tab on the next page, choose the Event from the available list and choose ‘Next’. In this case we will record a centrifugation event for the blood samples prior to the PBMC / plasma isolation. The default Mode is ‘Form’, which is used if all details will be the same for all of the samples.

     

  5. Enter the available details for the event. Each type of event will have its own fields available.

  6. After Saving, you will be navigated to the page from which you selected the specimens.


Recording different values to a list of specimens

If each specimen in a list needs a unique value, the ‘Mode’ feature can be used to show a table of all of the specimens selected which will allow the user to record different values for each specimens. This is especially useful for recording values, such as DNA QC values received from the Core Laboratory. For instance, to record Qubits and A260/280 ratios for DNA, it is convenient to show all specimens in table and enter each value on a single page.

For this example, choose the DNA samples sent to the Core Lab, which can exist in a Cart. Select all DNA derivatives and choose 'Nucleic Acid Quality and Quantity from the ‘Add/Edit Event’ dropdown.

  1. From the Specimens tab of Bulk Events, choose ‘Table’.

  2. The subsequent screen will show a row of data fields for each specimen. Edit each individually.

     

  3. A table will be displayed where you can enter the unique values associated with each DNA received.


Reports (queries) of Events

Reports can be created to show any specimens that have an event associated with them or to display the fields associated with that event using queries.

Filter for specimens for which an event has been created by adding a Filter

  1. Under filters, search for the event under the ‘Specimen’ field section.

  2. Choose the event ‘ID’ field (each event ID will be named as the 'Event Name ID’).

  3. Select ‘Exists’ as the Operator.

  4. Click ‘View Records’ to display the results which will only include samples for which this specific event have been added.
