What is data entry in REDCap?
Data entry is the process of entering participant data into an instrument instead of the participant completing a survey in REDCap. Surveys and data entry forms are the two different types of data capture in REDCap , this knowledge article focuses on data entry forms.
Steps to complete a data entry form:
Click “Add/Edit Record” > either chose an existing record or add a new record > locate the data entry form that needs completing (in this example we are going to complete the “Medications” form) > open the form and begin entering the participant information.
Once you have completed the data entry for that form, save the form status as either Incomplete, Unverified, or Complete.
Incomplete indicates more information needs to be completed before this form is complete but can be saved in the incomplete status.
Unverified indicates the form is complete, however it requires verification from someone on the research team usually the PI.
Complete indicates the form is complete and nothing further needs to be done with that form.
Once you have selected the form status, then select your save function. You have the option to save and exit form, save and stay in the form, save and exit the record, or you can save and go to the next record. If the data entry form has repeating instruments enabled, you will also have the option to save and add new instance.
Example of a Data Entry Form vs. Survey
A survey can be sent to a participant and opened out of REDCap. A data entry form can only be opened in REDCap and is not participant facing.
