Destruction event for specimens

Samples in a biobank sometimes need to be destroyed rather than used and closed. Destroying specimens is often called for due to withdrawal of consent, study conclusion, or a deviation in the protocol.

Record a ‘Destroy Specimens Event’:

To record that a specimen was destroyed, users can add a ‘Destroy Specimen’ Event, record the reason, and add a comment if needed. The user and a time stamp are recorded automatically. Then the sample needs to be closed in a subsequent step to note that it no longer is in the biorepository.

For auditing purposes, you can access a query that shows all specimens that have been destroyed and the other details associated with that Event.

  1. Select the samples to be destroyed using any interface: specimen list view page, specimen table, query, or a cart.

    1. Select the sample(s) to destroy.

    2. Select Add / Edit Event from the Actions button (or the Specimens button from the query interface).

       

    3. Click Next or add additional specimens to the list.

       

    4. From the Options tab, choose ‘Destroy Specimens Event’ from the Event dropdown and choose ‘Next’.

       

    5. The default Mode is ‘Form’ which is used if all details will be the same for all of the samples.

    6. Choose a reason for the destruction of specimens.

       

    7. Add a comment to add additional information if needed.

       

    8. After Saving, you will be navigated to the page from which you selected the specimens.

    9. Select the specimens again and choose ‘Close' from the Actions or Specimens button.

    10. Record a reason, if desired.

       

    11. To record different values for the specimens in the list, select ‘Table’ as the Mode.

    12. The subsequent screen will show a row of data fields for each specimen. Edit each individually.


View destroyed specimens using a query:

This feature is useful for audits to show auditors any specimens that were destroyed and the details associated with that event.

Navigate to the Query titled ‘Destroyed Specimens’.

Find the samples in your study using the filter for Protocol Name.
